SPECIFIC DUTIES AND
Responsibilities:

The employee in this position performs specialized clerical work that requires independent decision making ability as clerical support to the Correctional Officer Colonel.
Duties may include but will not be limited to the following:

  • Responsible for preparing and maintain various documents, reports, letters, memorandums, forms, including but not limited to post charts, post orders, emergency plans, institutional Operating Procedures, Policy & Procedure Directives, Department of Corrections Rules, work orders, supply requisitions and purchase orders.
  • Utilizes various computer programs and complies and maintains data relating to Security Department issues and provides information to the Warden s Office for monthly/quarterly/yearly reports as requested.
  • Assists with the preparation of the Review and Performance Planning forms as directed.
  • Serves as receptionist for the Security Department, greeting visitors and answering telephones, routing calls to the appropriate area and answering questions with their area of responsibility.
  • Maintains offender visiting records to include card file with up-to-date list of visitors or input visitor information into Offender Based Information System (OBIS).
  • Orders and distributes forms and supplies for the security department.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of correct spelling, punctuation and grammar usage.
  • Knowledge of basic arithmetic.
  • Knowledge of basic filing practices.
  • Skills in typing.
  • Ability to operate general office equipment.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work with highly confidential information.
  • Knowledge of record keeping.
  • Ability to meed strict deadlines.

Full Performance Level KSA s:

  • Knowledge of standard business formats and styles for letters and business forms.
  • Knowledge of office procedures.
  • Knowledge of the techniques for handling telephone calls in a courteous and efficient manner.
  • Ability to transcribe dictation using notes or a dictating machine.
  • Ability to organize files and other records.
  • Ability to perform basic arithmetical calculations.
  • Ability to use correct spelling, punctuation and grammar.
  • Ability to type letters, memoranda and other standard business forms in correct format.
  • Ability to handle telephone calls in a courteous and effective manner.

REQUIRED
Qualifications:

  • High School diploma or its equivalent.

PREFERRED
Qualifications:

  • One (1) year of secretarial or clerical work experience; or possession of a Certified Professional Secretary Certificate.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
